Privacy Policy
Last updated: April 2026. This policy covers the 100% School Systems client intake app.
What we collect
When you submit an intake, we collect: your name, email address, phone number, school name and address, your school's website, the programs you teach, your ranking system, pricing defaults, check-in hours, student list data if you upload one (student names, parent names, program, rank, start dates, and anything else in the file), logo and icon images, and any notes you type into the form.
Why we collect it
We use this information to build a custom Student Tracker app for your school. Your submission is reviewed by Coach Patrick and referenced during setup. We do not use your data for advertising, analytics profiling, or training AI models, and we never sell it.
Where it's stored
Form answers are stored in a Supabase Postgres database hosted in the United States. Uploaded files (logos, student lists) are stored in Vercel Blob, also US-hosted. Transactional emails are delivered through Google Workspace.
Student data specifically
If you upload a student list, you confirm that you have the authority to share that information with us (either because you are the school owner and maintain your own family records, or because you have parental consent where required by law). We treat student data as confidential and only use it to seed your custom tracker. If any parent asks you to remove a child's data, we'll delete that row on your request.
How long we keep it
Active intake submissions are kept until your tracker is built and delivered. After your tracker goes live, uploaded files are deleted from our storage (the data is already in your own Supabase project by then). The row summarizing your submission is retained for up to 12 months for support purposes, then deleted.
Incomplete (in-progress) submissions that haven't been touched in 60 days are automatically deleted.
Deleting your data
You can request deletion at any time by emailing jgnewroc@gmail.com. We'll remove your submission row and any uploaded files within 7 days and confirm by email.
Who has access
Only Coach Patrick has admin access. We use a password-protected dashboard behind a cookie session to review submissions.
Cookies
The public intake form uses a small amount of browser local storage to let you close the tab and resume your submission. The admin dashboard sets a session cookie after login. We don't use analytics or advertising cookies.
